For individuals located in the European Union, United Kingdom, or other jurisdictions with equivalent privacy legislation, we also comply with applicable requirements including the General Data Protection Regulation (GDPR).
What Information Do We Collect and How?
We collect personal identification information from you when you subscribe to our newsletter, respond to a survey, or fill out a form on our website.
We may also collect information about you as provided by your employer for the purposes of completing a survey and/or as part of a statutory or contractual requirement.
When registering on our site, as appropriate, you may be asked to enter your name, email address, mailing address, or phone number.

Data Retention
Personal information is retained only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. Specifically:
- Records of personally identifying information (such as name, email address, and phone number) collected in connection with a survey engagement are returned to the originating client or securely destroyed upon completion of the contracted survey period.
- Research data retained in aggregate, anonymized, or non-identifiable form may be retained for longer periods for the purposes of research quality and verification.
- Client materials, including customer lists, are either returned or destroyed at the conclusion of the survey or contract term.
Do We Disclose Information to Outside Parties?
We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you — including software-as-a-service (SaaS) providers, web hosting providers, survey platforms, and data processors. These providers operate under their own terms of service and privacy policies. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect our or others’ rights, property, or safety.
International Data Transfers
In the course of delivering our services, we use third-party software-as-a-service (SaaS) providers that may store or process personal data on servers located in the United States, including providers used for survey deployment, client relationship management, and survey-related email communications. Please be aware that the United States does not have a federal privacy law equivalent to Canada’s PIPEDA. These providers operate under their own terms of service and privacy policies, which we encourage you to review. We select providers that maintain established security and privacy practices; however, we do not have independent contractual agreements with these providers governing the handling of personal data beyond their standard terms of service.
Under PIPA BC and PIPEDA, InstaPulse Consulting Services Inc. remains accountable for personal information in our possession or control, including information accessible by our service providers. Occasionally, at our discretion, we may include or offer third party products or services on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Privacy of Survey Participants
InstaPulse Consulting Services Inc. takes all reasonable precautions to ensure that the privacy of our research participants is respected and protected, and to ensure that participants and those closely associated with them will in no way be adversely affected or embarrassed as a direct result of having participated in a survey that we administer.
- Participation in the surveys we conduct is strictly voluntary. Participants have the right to decline participation, and the right to withdraw from the survey at any time.
- InstaPulse Consulting Services Inc. will not contact for participation in surveys any individual who has been identified to us as having asked not to be contacted.
- Information collected from individuals or organizations in the course of our surveys is used for research purposes only. Follow-up contact will not be made without the express permission of the participant, except in the case of standard research practices such as interview verification by supervisors. In such cases, participants will be notified that a follow-up verification may occur.
- All surveys are conducted on a strictly confidential basis. Personally identifying information (such as name, email, and telephone number) is kept separate from individual research results, unless provided voluntarily as an entry to a contest or draw. Survey results are reported only as group aggregated descriptions, or as anonymous findings from individuals, unless specifically requested by a respondent.
- When personal information is released to a subcontractor in the course of conducting a survey, it is released only to organizations that conform to our standards for privacy protection.
- The names of those who have participated in a non-employee survey may be released to clients only if they are separated from the research results, and only in cases where the client originally provided the list of names. These names are released only when used for the purpose of tracking customer participation and protecting customers from being approached too often for surveys. An exception is made when a research participant initiates a request that their name be forwarded to the client.
- Interviews are not recorded without the express permission of the survey participant.
- Survey information is not collected from minors without the express consent of a parent or guardian. For participants located in the European Union or other jurisdictions, we comply with the applicable local requirement (up to age 16).
Commitment to Our Clients’ Confidentiality
InstaPulse Consulting Services Inc. takes all reasonable precautions to protect the security and confidentiality of client information used or learned in the course of conducting surveys.
- All materials obtained from clients in conjunction with our surveys are kept secure from outside release while in our possession, and are either returned or destroyed at the conclusion of the survey or contract term.
- Materials obtained from a client in conjunction with a survey, including customer lists, are not used for other research studies or surveys without the express permission of the client.
- Information learned in the course of conducting a survey becomes the sole property of the client unless otherwise agreed to in advance. Survey findings and all other client information are treated as confidential and are not released to outside parties without the express permission of the client.
InstaPulse Consulting Services Inc.’s Privacy Policy promotes responsible and transparent personal information management practices consistent with British Columbia’s Personal Information Protection Act (PIPA) and, where applicable, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Security Breach Notification
In the event of a breach of security safeguards involving personal information that poses a real risk of significant harm to an individual, InstaPulse Consulting Services Inc. will notify affected individuals and report the breach to the Office of the Privacy Commissioner of Canada (OPC) and, where applicable, the BC Office of the Information and Privacy Commissioner (BC OIPC), as required under PIPEDA and BC’s PIPA. We maintain a record of all breaches of security safeguards as required by applicable law.
